Job Description

We are looking for a responsible Senior Executive Administrator to support our management in a timely and professional manner. You will provide high-quality administrative and clerical assistance to top-level executives.

The Senior Executive Administrator’s main duties include scheduling meetings, making travel arrangements and organizing daily calendars. To be successful in this role, you should be proactive, meet deadlines and communicate effectively. Our ideal candidate also has previous experience as an Executive Administrator and is familiar with office management technologies.
Ultimately, you should be able to identify and address the needs of management and perform administrative tasks to ensure our company’s workflow runs smoothly.
Responsibilities and Duties

  • Act as the point of contact among executives, employees, clients and other external partners.
  • Manage information flow in a timely and accurate manner Manage executives’ calendars and set up meetings.
  • Make travel and accommodation arrangements Rack daily expenses and prepare weekly, monthly or quarterly reports.
  • Oversee the performance of other clerical staff.
  • Act as an office manager by keeping up with office supply inventory.
  • Format information for internal and external communication – memos, emails, presentations, reports.
  • Take minutes during meetings Screen and direct phone calls and distribute correspondence Organize and maintain the office filing system.
  • Suggest more efficient ways to run the office and troubleshoot malfunctions.
  • Review and recommend changes to our company policies.
  • Plan execution times and review the work done according.

Required Experience, Skills and Qualifications

  • Proven work experience as a Senior Executive Administrator, Executive Administrative Assistant or similar role.
  • Knowledge of office procedures.
  • Solid experience with office management systems, ERPs and MS Office.
  • Experience using office equipment, including printers and fax machines.
  • Strong communication skills (via phone, email and in-person).
  • Experience exercising discretion and confidentiality with sensitive company information.

  • Excellent organizational skills with an ability to think proactively and prioritize work.
  • High school degree; additional qualifications as Personal Administrator or Secretary are a plus.
  • Knowledge of some of online financial markets are a plus.
  • Outstanding organizational and time management skills.
  • Familiarity with office gadgets and applications (e.g. e-calendars and copy machines).
  • Excellent verbal and written communications skills.
